Assessment Task

As a follow-up of Assessment 2, compile a 2000-word Business Process Improvement (BPI) report applying tools and techniques learnt throughout the subject and your own research. You are required to analyse, evaluate and recommend business process improvements to close the gap between the AS-IS and TO-BE process state.

Context

Process improvement involves the business practice of identifying, analysing and improving existing business processes to optimise performance, meet best practice standards or to simply improve quality and the user experience for customers and end users. It can also be a part of various approaches such as business process management (BPM), business process improvement (BPI), business process re-engineering and continual improvement process (CIP). Regardless of the approach, process improvement shares the same goal, which is to minimise errors, reduce waste, improve productivity and streamline efficiency.

There are several different methodologies designed to help organizations to implement process improvement. Despite their common goal, each methodology suits a different need. Some focus on lean process improvement techniques while others focus on creating an organisational culture conducive for process improvement. There are also methodologies that help companies visually map out process workflows. 

Solution

Introduction 

Dompe hospital in Sri Lanka is a project for the government health sector for districts that are more efficient with the adaptation of ICT solutions in Kulathilaka in 2013. It helps the future directions of health informatics in Sri Lanka. AS-IS study is the most vital SAP implementation project and needs a client consultant to make it with details and needs a business blueprint that came under to make teams with hard-working modules. This project is a patient-centric ICT- enabled process that helps to get free medical services and TO-BE is also a kind of SAP consultant that helps to improve the service with a minimum cost. The AS-IS process needs meetings with the clients and gathering information about the system and describing the complete blueprints documents with flow charts to complete the process (Tiamaz et al. 2018). MBA Assignment Expert AS-IS leads to the TO-BE process. It is an effective technique that helps to develop an organizational process with culture and capabilities for future growth. It will help in all operational growth that secured OPD registered with drugs and encrypted from inhouse services with usernames and passwords. This process helps to identify the difference between the current and target rate of the business and shows the gap in the development process. The process starts with a salesperson ordering from the consumer and checking if the stock is enough and then packing or delivering. The whole process ends after shipping and making diagrams with business process modeling notation to go through the existing situation. Managing processes in health care management with better business outcomes help to make a structure to run the organization. In business process management, document, assess, improve, and manage to generate business value. This paper aims to analyze the evaluation of business process improvement, process gap evaluation between AS-IS and TO-BE, establishment and justification of the proposed BPI methods and artifacts, and process automation opportunities. All these aspects are going to be analyzed focusing light on the performance structure of Dompe eHospital in Srilanka.

Evaluation of Business Process Improvement 

Business process improvements analysis, review, and identifying inefficiencies that help the ICT approaches to make benchmarks to the initial metrics. It will include an accurate mapping that will improve efficient workflow inside the institution and help in the growth of the business. Different processes, such as competency management help to record the employee's competencies and involve redesigning the process (Yousfi et al. 2019). Many companies use BPI to explore the time of caring processes and also help to improve qualities that help the leaders to make better rules for customer satisfaction. The Dompe eHospital must incorporate this style to bring success in the organization. To gain more strength in business, the company can evaluate competencies with various resources and it also helps to maintain the stakeholders flowing social responsibilities. With the strategic position in the current market. Customers, substitutes, suppliers, and probable new entrants in the business, all these bodies are together considered competitors to the institution inside the industry. The stakeholders, suppliers of the institution must collaborate to bring efficiency within the organizational performance. Amazon has always prioritized two aspects before anything else and they are customer experience and making the product customer-friendly (Woiceshyn & Daellenbach, 2018). It also helps to make process improvement ideas that support grounding the framework with critical evolutions that are used as additional guidance related to the building and systematic explorations. Business process improvement tools will help the institution in understanding the activities of structuring. SIPOC analysis, value stream mapping, mind mapping, business process mapping, and cause and effect analysis can assist the Dompe stakeholders to overcome challenges and avoid the planned improvements.

Identifying the reasons for continuous improvements to cost reduction and optimization with poor performance. Mapping helps to make subcomponents with a list of the right symbols that help in activities with a flowchart to connect all components. Analyzing the necessary process with product quality and financial interest that helps to make more significant progress (Pettersson & Öberg, 2020). Optimize process will help the institution Dompe to understand situational factors that are established with brainstorming implementations of solutions to measure improvements. Implementation is a major step for future success to lose old process cost with limited risk and accurate decision-making that directly involves a fundamental business process. Monitoring in this area will support the institution to keep the process optimized and focus on the statistics while developing the performance of the process with future change. Documentation of the health management of the patients within the hospital is all about making models with the existing processes to understand redundancies and bottlenecks. Then the flow chart allows making the accuracy of the process with specific work to make improvements to analyze the future state (Syarifudin et al. 2022).

Process gap evaluation between AS-IS and TO-BE 

Understanding the ICT-enabled business process implementation on health metrics will be tough to formalize the value chain that works as an essential element. This understanding of ICT-enabled innovations and systems helps to map the process in the future and take major flows that make a point and serves the purpose of documenting the value chain while describing activity flows that culminate with the final product. Before mapping out AS-IS  or TO-BE process provides answers to analyze the current state that answers several questions and investigate compliance and training process through management tools. The stakeholders of the organization are to be involved in day-to-day operations and consider selling goods to start with the process.

â—Ź The first step is to understand the process to identify key users or stakeholders to complete business rules and perform on a regular business (Måren et al. 2020). Dompe eHospital must take care of this aspect as with this area the success of the organization is connected. 

â—Ź Identifying the steps in the AS-IS survey without focussing on the changes through conducting interviews with users to gather data involved in the mapping process.

â—Ź After the meeting with the users and gathering data sources in the final steps with the AS-IS process the eHospital can define solutions and ensure each step is covered.

â—Ź Redesigning the process in changes with the existing process and areas of improvement that make it evident in the process map. Then the TO-BE process helps in getting solutions to the identified problems that are defined as new process manager, scope, and objectives with rules and activities. This TO-BE process can be applied to the eHospital success structure. Values that are highlighted to remove the workflow and BPM tools will help the organization to organize the structure flow to make an effective step. 

â—Ź After gathering feedback from the new stakeholders and measuring the KPIs to evaluate the TO-BE process and based on the inputs to get desired result (Tom, 2018).

The AS-IS diagrams present the organization's processes and capabilities to show accurate visual pictures that visualize the breakdowns and risk areas with final improvements. It is mapping only to show current and areas states that improve the process. The institution is to first evaluate the two processes and consider the priority according to the institutional needs. Then, the stakeholders will perform following the process to address the problems and then bring improvement.

Justification of BPI methods and artifacts 

To make the BPI approach with selection criteria with a decision about the development in the business that presents comprehensive BPI methods to evaluate BPI tools for the projection of the organizations (Yang et a. 2022).

â—Ź As stakeholders' value improvements depend on the quality of the delivery service to the consumers, the organization is to give high attention to the performance of its stakeholders. And, if necessary they are to be provided with proper training to successfully meet the consumer needs and then the institution can bring efficiency within its structure.

â—Ź Value gap closure is driven properly and focused on the identity and quantity gap of the delivered products with incorporated strategic directions with fundamental BPI pragmatic value gap analysis. 

â—Ź Stakeholders' strategy to operate aligned success in the business and breakthrough outcomes that link day-to-day operations with manifestations with the incorporation of workflow mapping and modeling tools to support the existing proposed measurable operational terms (Malinova et al. 2019). The stakeholders and the other performers’ working process is to be mapped and evaluated on a daily basis to put the eHospital in a successful position.

â—Ź Understanding worker reliance holds the key to discovering ways that improve the cross-functional process in the business and make BPI initiatives to facilitate knowledge and define gaps of improvements and opportunities to use a facilitator to form outcomes. Use of an understandable and effective BPI method will surely assist the organization in rising out from its decreased position.

â—Ź Value gap analysis and facilitator process work as incorporated BPI prescribed to provide a consistent pragmatic approach to defects the variations. 
Improving the business process is not easy to get. With proper use of tools and support with implementing changes to understand the cause and effects by clearly considering possible phrases (Missaoui  & Ghannouchi, 2020) Requirements of artifacts in the business management drive the organizational performers to formally imposed the specification and requirement management application to use the artifices and define the support to enhance by diagrams and requirement of projects. This format is used by the eHospital in checking faults in the business process and helps the key stakeholders to make the automated processes of the business (Ramsetty & Adams, 2020). Customers used steps to complete the business processes through funding the model and capturing detailed accuracy to estimate business risks of new changes with properly implemented risk analysis in the operations.

Process Automation Opportunities 

Automation of the business depends on the working functions of the management and other performers inside the organization. Modern technology is making an immediate process that gives time-intensive tasks to optimizing operations that will help the eHospital in allowing the skills and make the tasks easy.  The ICT-enabled process innovations automation comes through a variety of management processes including document management, and workflow automation which will help the institution to reduce costs and expenses in the company with less work. Managers are to spend more time teaching important tasks to the organizational employees. It will improve the organizational service through strategic improvements in the workflow. It saves a lot of time and effort in data transferring, and communication and brings new customers with revenue. This way eHospital will receive more clients and the institution will step in the staircase of success. For example in an e-commerce store, it is a problematic task to make everything systematic and orderly (Mendling et al. 2018). It will help to match all requirements that are needed and make process improvements with automation to make the value of the time with new vendors to secure supply channels and improve customer service to work directly with the revenue of the company. It also helps to make happier employees and motivates them through fulfilling their desires and helps the organization to make sustainable growth with consumer satisfaction. When the consumers feel a high level of consistency and accuracy with trust and get a positive experience and then they recommend the institution to others (Harmon, 2019).  This kind of mouth marketing is much more effective than advertising and influences customers. With this process the eHospital will be able to gain more clients and its stakeholders are also trying their level best to bring the institution in a successful position.

Conclusion 

In Sri Lanka, the HHIMS helps the patients with the required drug and reports through m-channeling allowing the patients to book appointments online in any language and get session time and get reports and prescriptions. The HHIMS starts its journey with business process improvements and makes automation with a growing future that helps to implement the thought process and make a menial task with improving tools (Laguna & Marklund, 2018). Companies meet their goals and targets through business processes and making the workflow that analysis with the AS-IS and TO-BE approach to process improvement with the former identity that designs the workflow to make solutions in the key process to make effective improvement with all stakeholders and involving employees to ensure they're motivated with achievement to enable expected operations with approval steps. The AS-IS analysis mapping outlines the state of issues in the current mode of operations with stakeholders and develops the processes through documents. TO-BE analysis map where to put the situation and mapping documents that guide for implementing changes in the process. Both the analysis documents of the organization to maintain consistency in the process to track outcomes effectively (Piyatilake et al. 2021). These documentations help areas that make a prime improvement through service in the path of achievements. It improves consumer engagement and satisfaction and brings the institution in its desired place. It helps to create solid foundations with overall business strategy through training process communications and increase control with consistency and gain a competitive edge. If these stages are followed, eHospital will surely gain efficiency in its performance.
